Privacy policy

This policy explains what information SportStudio collects, how we use it, who helps us process it, and the choices you have. SportStudio is operated by Kovar Digital LLC ("Kovar Digital," "we," "us")., a Minnesota limited liability company.
It covers our website at sportstudio.io, the SportStudio app (the editor and dashboard), our emails, live chat, and support. It does not cover sites or services run by others, even if we link to them.
The short version
- Most of what we store is content your organization uploads to make videos: logos, photos, rosters, sponsor artwork, fonts, and the text and colors you type into templates.
- We use it to run the product: render your videos, save your work, send account and render emails, and answer support questions.
- We do not sell personal information and we do not run advertising trackers.
- Our customers are schools, teams, and organizations. When they upload photos or names of athletes, some of whom may be minors, they are responsible for having permission to do so. See Athletes, students, and minors.
Information we collect
Account information
Sign-in, accounts, and billing run through Outseta, our account and billing provider. When you or your organization is set up with an account we receive your name, email address, organization or team name, username, and internal account and person IDs. Outseta also holds your plan and subscription details. Payment card details are handled by Outseta and its payment processor, Stripe. We do not see or store full card numbers.
Signing in with Google. If you choose "Sign in with Google," Google shares your name, email address, and profile picture with Outseta so it can sign you in. We use this only to identify you and sign you in to SportStudio. We do not get access to your Google password, contacts, files, or any other Google data, and we do not sell, share, or use information from Google for advertising. Our use of information received from Google follows the Google API Services User Data Policy. You can disconnect SportStudio from your Google account at any time in your Google account settings.
When we set up a new team account we may also create a matching account on Motionstyles, a related motion graphics product, using the same name and email so you can sign in to both. Motionstyles is also operated by Kovar Digital LLC and is covered by this policy.
Content you upload or create
To build videos you can give us:
- Logos, brand colors, school or team details, and other brand kit information.
- Photos, including player headshots and team photos.
- Rosters and other collections, which can include athlete names, jersey numbers, positions, heights, and photos.
- Sponsor names, logos, and artwork.
- Font files.
- The text, colors, layout choices, and settings you enter in the editor, plus saved templates and folders.
- Web page links you ask us to import from (for example a public roster page). We fetch the page and extract the records you asked for.
Rendered videos and usage
When you render, we store the finished video or image, a thumbnail strip used for scrubbing previews, the settings used, and a history record (what was rendered, when, by which account and person, and its status). We also keep usage counts, such as how many renders an account has made, and which features an account has access to.
Forms on our website
- Get started form: name, email, organization, and optionally your role and what you hope to use SportStudio for.
- Contact form: email and message, and optionally your name, organization, and role.
Both forms email our team, send you an automatic confirmation, and keep a copy of the submission in our records.
Live chat
Our chat works for signed-in users and anonymous visitors. We collect the messages and any images you send, your first name, and (if you are signed in, or if you leave a message while we are away) your email address. For signed-in users we verify your account and attach your name, email, username, and team. Your browser keeps a small record of your conversation so it can reconnect. Chat messages are relayed to our team through Slack, and if we reply while you are offline we may email you the reply.
Demo calls
If you book a demo, scheduling is handled by Cal.com, which collects the details you enter there under its own privacy policy.
Information collected automatically
Like most websites, the services we use receive technical information when you visit, such as your IP address, browser and device type, pages requested, and timestamps. Our hosting and app infrastructure keeps request and error logs so we can run and debug the service. These logs are kept for 30 days or less.
Analytics. On www.sportstudio.io we use Google Analytics and Ahrefs Web Analytics to understand how many people visit, which pages they view, and where they came from. Google Analytics uses cookies and receives your IP address and browser details under Google's privacy policy; you can opt out with Google's browser add-on. Ahrefs Web Analytics does not use cookies. We use these reports only in aggregate, not to build profiles of individuals or for advertising.
How we use information
- To provide the service: authenticate you, store your content, render videos and previews, and deliver downloads.
- To send service emails, such as a notice that your render is ready, welcome and onboarding emails, and replies to your messages.
- To send product updates and news (see Email).
- To provide support through email and chat.
- To manage plans and feature access, and to understand how much the product is used so we can plan capacity and improve it.
- To maintain a shared library of team names, colors, and logos (see The shared team library).
- To keep the service secure, prevent abuse, and meet legal obligations.
Where your content is stored and processed
We rely on the following providers to run SportStudio. Each processes data on our behalf for the purposes below.
- Outseta: accounts, sign-in, subscriptions, and billing.
- Cloudflare: hosting for our website and backend services (Workers, Pages, Durable Objects), and storage for uploaded files (R2, served from media.sportstudio.io), app data (KV and D1 databases), and chat history and chat images.
- Amazon Web Services: storage of rendered videos and images (S3), thumbnail generation (Lambda), and sending our monthly update emails (SES). Our AWS resources are in the US East (N. Virginia) region.
- Resend: sending service emails and managing our email list.
- Cloudinary: background removal and format conversion for photos and logos. The image is sent to Cloudinary, the result is saved to our own storage, and we then delete the copy at Cloudinary.
- Anthropic: when you import from a web page link, the text of that page is sent to Anthropic's API to pull out the records you asked for (for example the players on a roster page).
- Slack: relaying live chat conversations to our team.
- Cal.com: scheduling demo calls.
- Google: "Sign in with Google" (through Outseta) and website analytics (Google Analytics).
- Ahrefs: cookie-free website analytics.
- Webflow and GitHub Pages: host some of our app code and some images on the website.
- Google Fonts and Adobe Fonts: deliver web fonts, which means your browser requests font files from those services.
Rendering on our own machines. Videos are rendered in After Effects on computers that Kovar Digital owns and operates. To render a job, a machine downloads the files that job needs, renders it, and uploads the result to our storage. The machines are located in Minnesota. Files downloaded for a job are kept only as a working cache for later renders of the same account and are cleared periodically.
Links to files. Uploaded files and rendered videos are delivered from web addresses that contain long, random identifiers. They are hard to guess, but they are not password protected: anyone who has the exact link can open the file. Please share download links with care.
SportStudio is operated from the United States and your information is stored and processed in the United States.
The shared team library
SportStudio includes a library of teams (names, colors, and logos) that customers can pull from, for example to show an opponent. We build it from public sources. If you link your brand kit to a team in the library, edits you make to your school details, colors, and logos may be submitted to that team's library entry. Submissions are held for our review and are never applied automatically. Once approved, that information can appear to other customers who use the library. If you would rather not contribute, email us and we will turn it off for your account.
Athletes, students, and minors
SportStudio is built for organizations, not for children, and our accounts are for adult staff. We do not knowingly collect personal information directly from children under 13.
Our customers often upload names and photos of their athletes, and at the high school level many of them are minors. When they do, the school or organization decides what to upload and is responsible for having the rights and permissions needed, including any parental consent required by law or school policy. We process that content only to provide the service to that customer. If you are a parent or athlete and want something removed, contact the school or organization that made the video, or contact us and we will work with them.
For schools subject to FERPA, we act as a "school official" with a legitimate educational interest: we use student information only to provide the service to the school, under the school's direct control, and never for advertising or to build profiles of students. We do not sell student information. We are happy to sign a student data privacy agreement or data processing agreement on request.
We send two kinds of email:
- Service emails about your account and renders, and replies to your messages. These are part of using SportStudio.
- Product updates, currently about once a month. When an account is created, its email address is added to this list. Every update includes an unsubscribe link, and you can also email us to be removed.
Cookies and browser storage
We do not use advertising cookies. Apart from analytics (below), we use browser storage (cookies and similar technologies such as local storage) only for things the site needs to work:
- Keeping you signed in. Outseta stores your sign-in token in your browser.
- Remembering your live chat conversation so it can reconnect.
- Remembering editor preferences on your device, such as grid, snapping, and timeline settings.
Google Analytics sets cookies (named _ga and similar) on www.sportstudio.io to count visits. Outseta, Cal.com, and other providers may set their own cookies when you use their features.
How long we keep information
We keep account data and content for as long as the account is active. When you delete an uploaded file or a render in the app, we delete the stored file. Short preview clips made while you edit are cleaned up automatically. Form submissions and chat history are kept so we can follow up and keep a record of conversations.
After an account is closed, its owner has 30 days to download renders and content, and we delete the account's content from our systems within 90 days of closing. Form submissions, chat history, and chat images are kept for up to 3 years. When you unsubscribe from product updates we keep your email address on a suppression list so we do not email you again. Logs are kept for 30 days or less.
How we protect information
Your dashboard and editor require a sign-in, and uploaded files and rendered videos are stored at long, unguessable links rather than public listings. Secrets and credentials are kept out of our code. Data travels over encrypted connections. No system is perfectly secure, and we cannot guarantee absolute security. If a security incident affects your information, we will notify affected customers without undue delay and as required by law.
Your choices and rights
- You can view, edit, and delete your uploads, saved templates, and renders in the app.
- You can unsubscribe from product updates at any time.
- You can ask us to access, correct, export, or delete your personal information by emailing hello@sportstudio.io. We may need to verify your identity, and if the information belongs to a customer organization we may need to involve that organization.
We honor these requests for everyone, regardless of where you live. We do not discriminate against anyone for making a request. SportStudio is offered to organizations in the United States; if you use it from elsewhere, your information will be transferred to and processed in the United States.
Sharing
We share information only with the providers listed above, with your organization (people on the same account can see its content and render history), when you ask us to, to comply with law or protect rights and safety, or as part of a merger, acquisition, or sale of assets, in which case this policy would continue to apply. We do not sell personal information.
Changes to this policy
If we make material changes we will update the date at the top and let account holders know by email or in the app. For material changes we give at least 30 days' notice before they take effect.
